EDUCATION and/or EXPERIENCE
Bachelor’s degree or equivalent combination of education and experience.

LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, grant/foundation funding application requirements or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Ability to organize information, data, and schedules including juggling multiple tasks and deadlines.

Description: 

Manages a variety of general office activities for the Executive Director by performing the following duties personally or through management of other staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Composes and prepares confidential correspondence, reports, letters and other complex documents.
  • Writes grant and foundation funding proposals as directed.
  • Researches public and private grant agencies and foundations to identify potential sources for research, community service, or other projects
  • Manages the Executive Director's calendar and schedules appointments both inside and outside the organization.
  • Screens incoming calls, correspondence and responds independently when possible.
  • Prepares records such as agendas, notices, minutes, and resolutions for corporate meetings.
  • Acts as custodian of corporate documents and confidential records.
  • Maintains uniform correspondence procedures and writing style practices.
  • Formulates procedures for systematic retention, protection, retrieval, transfer, and disposal of records.
  • Develops reports as required for management implementation.
  • Regularly researches and identifies funding opportunities for PCAR and the NSVRC.

Functional Responsibilities:

  • Coordinates and provides Administrative support to the Executive Director.
  • Maintains administrative calendar and helps manage logistics of administrative scheduling.
  • Assists the Executive Director with projects associated with NSVRC.
  • Attends all Board of Director meetings, and serves as back-up to staff liaison for special activities at the annual board meeting(may require overnight travel).
  •  Attends meetings and/or training as requested (may require overnight travel).
  • Maintains master file of organizational job descriptions and organizational chart.
  • Assures quality of appearance and accuracy of general correspondence, reports, proposals, etc.
  • Maintains PCAR Board Book, the Executive Director's Board Book, the Executive Assistant's Board Book.
  • Establishes and monitors proposal development timelines to identify key steps and appropriate staff leading to successful proposal development and submission prior to deadlines.
  • Organizes and submits funding proposals in conjunction with Finance Director and Vision of Hope activities.
  • Follows-up on activities as needed to track and monitor proposal progress.
  • Serves as an active member of the Funding Team.


SUPERVISORY RESPONSIBILITIES
Supervises the 3rd floor Administrative Assistants. Is responsible for the overall direction, coordination, and evaluation of these employees. Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
